Meta Business Suite is the Meta tool businesses use to manage their Facebook Page and Instagram account from one panel. Scheduling posts and stories, answering Messenger and Instagram messages in one inbox, content insights and simple ads all live in Business Suite. Ownership and permissions sit in a separate layer, the business portfolio (formerly Business Manager).
Because Meta renames things often, these three concepts get mixed up constantly. Below we explain what each does, how they work together and how to set them up correctly.
What is the difference between Meta Business Suite and the business portfolio (Business Manager)?
The business portfolio is a container: it holds company ownership of assets such as Pages, Instagram accounts, ad accounts, pixels and catalogs, plus people's access to them. Business Suite is the control panel where you use those assets every day. You set up the portfolio once; you use Business Suite daily. Some Meta help pages still say 'Business Manager'; they mean the same layer.
- Business portfolio: ownership, people, partners, permissions, security settings.
- Meta Business Suite: planner, inbox, insights, boosting posts.
- Ads Manager: full ad control and reporting at campaign, ad set and ad level (Ads Manager guide).
How do you set up Meta Business Suite?
The most critical part of setup is connecting assets to a company-owned business portfolio rather than a personal profile. The order below prevents access problems and 'the person who opened the account has left' crises from the start.
- Create a business portfolio in the company's name at business.facebook.com, using a work email.
- Add the Facebook Page, Instagram account and ad account to the portfolio; if you do not own them, request access as an agency.
- Add people by role: give full control to only 2 trusted people and the narrowest access needed to everyone else.
- Require two-factor authentication for everyone in the portfolio and complete business verification.
- Open Business Suite and check that the Page and Instagram account appear together on the home screen.
Which tools does Meta Business Suite include?
Business Suite is organized around four main areas. Teams spend most of their time in the planner and inbox; insights inform content decisions, and the ads menu is for quick boosts.
- Planner: schedule Facebook and Instagram posts, stories and Reels on a calendar.
- Inbox: Messenger, Instagram DMs and comments in one place, with automations such as instant replies, FAQs and away messages.
- Insights: reach, engagement, follower change and per-content performance.
- Ads: boosting posts and simple ads; switch to Ads Manager for detailed campaigns.
- AI tools: caption suggestions based on the image and ad copy drafts; always edit output to fit your brand voice.

Boost from Business Suite, or use Ads Manager?
The 'Boost' button in Business Suite turns an existing post into an ad in a few clicks. It is fast, but objectives, optimization events, placements and testing options are limited. If you are after sales or leads, Ads Manager, with conversion optimization, detailed placement control and A/B testing, is the right tool. In an illustrative example, the same content set up in Ads Manager with a conversion objective delivers a clearly higher conversion rate.
- Boosting fits: engagement, getting messages, local announcements, amplifying a post that is already doing well organically.
- Ads Manager is needed for: sales, lead forms, catalog ads, retargeting, budget and creative tests.
Common issues in Meta Business Suite
- Instagram account missing: it must be a professional account connected to the Page; check the link in Accounts Center.
- Wrong portfolio: if you have several, choose the right business in the selector at the top left.
- Missing permission: a 'you don't have permission' message means your role is not set for that asset in the portfolio.
- Ad account restricted: check Account Quality first and handle the appeal methodically (Meta ad account disabled).
What does Ads Sensor add for Business Suite users?
Business Suite is strong for content and messaging, but it does not compare ad performance with other channels. Ads Sensor unifies your Meta ad account with Google Ads, TikTok, Criteo and GA4 in one panel, prioritizes risks and opportunities with AI analysis, proposes reasoned actions and applies them with your approval. Mandatory two-factor authentication and AES-256 encrypted access keys keep account security front and center. Apply for the beta.
